How Documents Inc. collects, uses, and protects your personal information.

Documents Inc. (“we”) is committed to protecting the confidentiality of the personal information you entrust to us. This policy explains what information we collect, why, how we use it, and what your rights are. It is provided for information only and does not constitute legal advice.

1. Person in charge of personal information

In accordance with Quebec's Act respecting the protection of personal information in the private sector (“Law 25”), the person responsible for the protection of personal information at Documents Inc. can be reached at service@documents.bz.

2. Information we collect

a) Quote requests and communications. When you use our quote-request form or write to us, we collect the information you provide: name, company or organization, email, phone, language pair, document type, deadline, message, and, where applicable, any file you attach. This information is used solely to respond to your request, prepare a quote, and carry out the mandate.

b) Documents to translate. The documents you send us are handled confidentially, solely to perform the requested service, and are accessible only to those working on your mandate.

c) Browsing data (with your consent). If you consent, we use Google Analytics 4 to measure site traffic (pages viewed, device, approximate location data, usage statistics). No measurement occurs until you accept via the consent banner.

d) Hosting technical data. Our host may log technical data (IP address, security logs) necessary for the operation and security of the site.

3. Cookies and Consent Mode

The site enables analytics cookies only after you accept. We use Google's Consent Mode v2: by default, analytics and advertising storage are denied. They are enabled only if you click “Accept.” You can change your choice at any time using the “Cookies” link at the bottom of every page.

4. Basis for processing

We process your information to perform the service you request (quote, mandate) and, for traffic measurement, on the basis of your consent, which you may withdraw at any time.

5. Service providers and transfers

We use service providers that may process certain information on our behalf:

  • Google (Google Analytics and Google Workspace for email).
  • Cloudflare (site hosting and delivery).

These providers may process data outside Quebec or Canada. We never sell your personal information and do not share it for third-party marketing.

6. Retention

We keep your information for as long as necessary for the purposes described above and to meet our legal, accounting, and professional obligations, after which we securely destroy or anonymize it.

7. Your rights

Subject to the conditions set out by law, you have the right to access your personal information, have it corrected, withdraw your consent, and request its deletion. 8. Security

We implement reasonable measures (secure transfer, restricted access, non-disclosure agreements on request) to protect your information against loss, unauthorized access, or disclosure.

We may update this policy. The last-updated date appears at the top of this page.
